A multi-centre kidney care provider wanted to move all patient operations — from first registration through to billing — onto a single digital platform that would give clinical and administrative staff a shared view of every patient across all facilities.

The business challenge

The organisation was running patient records on paper and in spreadsheets, with session documentation completed on printed forms that were later transcribed manually. Consumables were tracked informally, billing was delayed and management had no real-time view of clinical activity across centres. As the organisation grew from a single facility to multiple centres, the manual approach was creating increasing clinical and financial risk.

Why the partnership was formed

Q1 was engaged following an introduction through a shared professional contact. The organisation had evaluated generic healthcare software and found that the workflows did not map well to dialysis-specific operations. Q1's willingness to begin with a detailed operational review — understanding the specific dialysis session workflow before recommending any platform — gave the leadership team confidence that the resulting system would be designed around their actual processes.

Solution delivered

Q1 implemented DiaCare — a dialysis operations platform covering patient registration and records, dialysis session scheduling and management, clinical session documentation, consumables tracking per session and per patient, billing generation and multi-centre management reporting. The system was built on Frappe and deployed on managed cloud infrastructure provided by Q1.

Implementation approach

The implementation followed a phased approach: administrative operations (registration, scheduling, billing) were deployed first across a single pilot centre. Clinical documentation features were added after the administrative workflow was stable and staff were comfortable with the system. The rollout to additional centres followed the same sequence. Staff training was delivered in small groups by department rather than whole-organisation sessions.

Business outcomes

The organisation now operates all patient-facing and administrative functions through a single platform. Clinical staff document sessions directly in the system rather than on paper. Consumables are tracked in real time and stock levels are visible to procurement. Billing is generated automatically from session records. Management can see clinical and operational performance across all centres on a single dashboard without waiting for manual reports.

The platform gave us visibility across all centres for the first time. Reporting that used to take days now happens in real time — and we can see which consumables are running low before we have a problem, not after.

What comes next

Q1 continues to provide hosting, maintenance and support for DiaCare across all facilities. Planned next phases include patient portal development to enable online appointment confirmation, and integration with the organisation's billing and insurance claims platform.
