A financial advisory practice managing a growing base of high-net-worth clients and families wanted to move from a combination of spreadsheets, email and a generic CRM to a purpose-built platform that connected client profiles, family records, financial goals, portfolios, insurance and scheduled reviews in one place.

The business challenge

The practice was managing client relationships across email threads, shared spreadsheets and a generic CRM that had been adapted for advisory use but did not support the family-level view that wealth management requires. Advisors maintained their own informal records. Client reviews were scheduled manually and frequently missed when workload increased. The practice lacked a single source of truth for any client's complete financial picture.

Why the partnership was formed

The practice approached Q1 after a referral from another advisory firm. Q1 began with a process review — mapping the advisory workflow from initial client contact through ongoing relationship management — rather than demonstrating a pre-built platform. This confirmed that the requirement was for a system designed around the advisory workflow rather than a sales CRM with advisory fields added.

Solution delivered

Q1 implemented the CFP Practice Platform covering client and family profiles, financial goal definition and tracking, asset and liability records, insurance policy management, portfolio summary integration, document storage and version control, task and review scheduling with automated reminders, and interaction logging. A client-facing portal was included, giving clients secure access to their financial summary and documents.

Implementation approach

Implementation began with data migration — converting the existing spreadsheets and CRM records into the new platform's data structure. This was the most time-intensive phase and required several rounds of data cleansing and validation. The advisory workflow was then configured, staff were trained by role and the client portal was made available to clients in a final phase.

Business outcomes

The practice now manages all client relationships through a single platform. Every advisor has access to the complete client record regardless of who manages the primary relationship. Client reviews are scheduled automatically and advisors receive reminders in advance. The practice manager can see task completion rates and overdue reviews across the whole team. Clients with portal access report that the self-service view of their financial position has improved their engagement with the practice.

What comes next

Q1 continues to provide platform hosting, support and enhancement services. Planned next phases include integration with portfolio management software to enable automatic portfolio performance updates in the client dashboard, and expansion of the client portal to support digital document signing.
