Client vision

A growing trading company operating across multiple locations wanted to replace a disconnected combination of spreadsheets, a legacy accounting system and manual processes with a unified ERP covering purchasing, inventory, sales and dispatch.

The business challenge

The company was managing purchasing in one system, stock in spreadsheets, sales orders informally and dispatch manually. Stock levels at different locations were not visible in a single place, leading to ordering errors — buying stock that was already held at another location, or failing to order before a stockout. Sales staff did not have accurate stock availability information when taking orders. Management reporting required a full day of manual data collection at month end.

Why the partnership was formed

Q1 was engaged following a recommendation from a contact in the same industry. The company had previously attempted an ERP implementation with a different vendor that had not reached go-live due to poor requirements understanding and a system that was configured for manufacturing rather than trading. Q1's approach of beginning with a business process review before any system configuration gave the leadership team confidence that the implementation would be grounded in how the business actually operated.

Solution delivered

Q1 implemented ERPNext covering the complete trading and distribution workflow: supplier management and purchase order processing, multi-location inventory with real-time stock visibility, sales order management with stock reservation, dispatch planning and delivery tracking, accounts payable and receivable integration, and management reporting dashboards for stock, sales and purchasing.

Implementation approach

Implementation followed a phased approach: the supplier and inventory master data was established first, with careful attention to the opening stock migration across locations. Purchase and sales order management was deployed next, running in parallel with the existing spreadsheet approach for four weeks before full cutover. Dispatch and reporting were added in the final phase.

Business outcomes

The company now operates all purchasing, stock and sales activity through a single ERPNext system. Stock is visible across all locations in real time and sales staff can check availability before confirming orders. Purchase orders are generated from actual stock requirements rather than from memory. Management reporting is automated — the information that previously took a full day to compile is available on demand. The number of stock discrepancies identified at month end has reduced significantly since go-live.

Stock accuracy and dispatch efficiency improved significantly once the team could see the same data across every function. The purchasing team stopped buying stock we already had at other locations almost immediately. Month-end reporting used to consume our whole finance team for a day — now it takes an hour.

What comes next

Q1 provides annual maintenance and support for the ERPNext implementation. Planned next phases include integration with the company's shipping platform for automated dispatch notifications and integration with the accounting system used by the company's auditors.
